How to Manage Client Expectations as a New Freelancer

When you’re a freelancer, it’s crucial to set client expectations upfront to ensure a mutually beneficial relationship. Not setting realistic boundaries and outcomes at the start can lead to critical misunderstandings. Over time, this can lead to burnout or even negatively impact your professional reputation.

To help you avoid this outcome, 10 members of Young Entrepreneur Council (YEC) answered the following question:

“When you’re just starting out in the world of freelancing, what’s one rule you need to know to better manage client expectations early on, and why?”

Here’s what YEC community members had to say.

1. Say ‘No’ When Necessary

“Don’t take on more than you can realistically deliver and don’t be afraid to say ‘no.’ Very often, beginner freelancers are afraid to decline any client requests. They think they will lose the whole gig if they won’t fulfill all the extra stuff the client is asking for. Don’t be a yes-man if something is outside of your skill set. Honesty doesn’t make you look unprofessional.” ~ Solomon Thimothy, OneIMS

2. Value Your Time

“Never give away time for free — or if you do, don’t let them know. Once you give, they will always expect that and ask for it. Then, when you have clients who don’t ask for discounts, you end up getting frustrated with the ones who do. Save the relationships from the beginning by valuing your time with them and expecting them to do the same.” ~ Marjorie Adams, Fourlane

3. Document Expectations

“On your kickoff call, create a document in which you review three things: what success looks like to the client, what failure looks like to the client and what specific activities fall inside the scope of the current engagement. This creates clarity and transparency while giving you mutually agreed upon benchmarks in writing that you can refer back to throughout the engagement.” ~ Rob Hoffman, Contact Studios

4. Be Honest

“You might be tempted to over-exaggerate your skills in order to attract potential clients, but this never turns out well. If you’re not prepared for the task, as you initially led the client to assume, you’ll only get negative reviews and ratings — which will ultimately impact your ability to work with other clients.” ~ Simon Bacher, Ling App

5. Create a Standardized Process

“Create a process. Set boundaries and expectations, and stick to them. It is exciting to be freelance because of the freedom, but it can turn into a headache if you are managing clients differently and do not have a daily and monthly process of work. 6. Establish Payout Milestones

“When you’re starting off as a freelancer, the best way to better manage client expectations is by clearly setting the milestones for the project and the respective payouts. Payouts are the major reason for conflict between both parties. 7. Maintain Work-Life Balance

“There’s a difference between being hard at work and working hard all the time. New freelancers often take work-life balance for granted as they keep accepting projects with unrealistic deadlines. 8. Communicate Regularly

“New freelancers should never forget that they must communicate with their clients throughout the process. This tip is crucial for first-time, budding partnerships. Clients want to know that you’re delivering on your promises. Communication and progress reports can streamline the process and make building trust with new clients easier.” ~ John Turner, SeedProd LLC

9. Provide a Project Outline

“Lay it all out for clients right off the bat through an introductory presentation or a project outline. If you aren’t clear on what you will provide, by when and to what degree, clients will create unrealistic expectations of you. 10. Remember That Every Client Is Different

“Every client is different, so you must set clear expectations from the start. Don’t assume that new clients will be the same as the last. Before you start the project, you must be on the same page in terms of scope of work, timeline, process, communication, reporting and costs. Senate Bill Would Give Payroll Tax Relief to Some Small Businesses

The Restaurant Revitalization Tax Credit Act has been reintroduced to provide payroll tax relief to eligible small businesses.

Senate Bill Would Give Payroll Tax Relief to Some Small Businesses

The new legislation creates a special tax credit that is available to businesses that had previously applied for the Small Business Administration’s Restaurant Revitalization Fund (RRF) program, but did not receive a grant because the program ran out of funding. It has been estimated that nearly 2 out of every 3 eligible RRF applicants were left unassisted, which works out at around 175,000 businesses.

Businesses Eligible for New Tax Credit

The credit available through the Restaurant Revitalization Tax Credit is open only to those businesses that applied for and were eligible to receive RRF grants. Eligible employers must have offset payroll taxes of up to $25,000 per quarter in calendar year 2023.

In addition, for businesses with 10 or fewer employees, the credit is refundable up to a total of $25,000 over the course of the year, with the cap on refundability to be gradually phased-out for businesses with under 20 employees.

Restaurant Businesses ‘Hurting for Too Long’

Senator Ben Cardin led the reintroduction of the bill and said: “We have not forgotten about these restaurants. They have been hurting for too long. The Restaurant Revitalization Fund was a timely program that simply did not have enough funds to cover the intense demand.

“I’ve heard from many restaurant owners who, having missed out on these funds, used their personal retirement savings or put their homes up as collateral to keep their businesses afloat. This tax credit will help ease their burden. It will support the restaurants we love while helping to boost our local economies.”

Additional Eligibility Criteria

Eligible businesses must have experienced average operating losses of at least 30% both in 2020 and 2021 compared to 2019, or losses of at least 50% in either calendar years 2020 or 2021 compared to 2019.

To be eligible, businesses must also have been in operation before March 14 in 2020, and have paid payroll tax in at least two quarters in 2021.

Code, data, or S3 buckets that can be accessed by the public can also form a major gap in security. They might not have the proper settings or are open for anyone to alter them and access more information.

With that, we’ve just scratched the surface. There is more that can endanger a system that is reliant on the cloud.

According to OWASP’s Top 10 list, other common weaknesses small businesses that use the cloud should know about are injection flaws, improper authentication, gaps in the software supply chain, unencrypted secrets, and integrating the parts with known flaws.

As a small business that has integrated a cloud into your architecture and wants to protect the premises, start with these cybersecurity practices:

  • Limiting user privileges
  • Introducing zero trust principles
  • Investing in phishing training for team members

By knowing who has access to the cloud at all times, it’s easier to determine whether the compromised access has led to unwanted hacking activity.

For instance, it could be flagged that an employee is using certain parts of the system outside of working hours or accessing the parts of the system they don’t need for work.

To take this a couple of steps further, security can also be set in a way to limit access to the system for employees based on the role they have within the business. In that way, if the hacker obtains their credentials they have limited access to the network as well.

Even more, applying zero trust and not automatically assuming that a person who has credentials is the employee can aid with the detection of the intruder early.

Phishing is still a major vector for threat actors that leads to data breaches. More sophisticated campaigns tend to bypass the security that detects social engineering.

Therefore, awareness training for all teams is still necessary to combat this threat. They should know how to recognize and report phishing.

Ways to Recognize Employees: Their Tax Implications

It doesn’t cost you anything to say “thank you” to employees who do a good job for your company, and there are no tax implications here. But if you want to do more to recognize their accomplishments and retain them as valued employees, there are many things you can do.

Whenever money is involved, tax implications follow. Also keep in mind the growing trend in state law of pay transparency; what you do for one employee may be known to all your staff.

Cash

Whatever label you put on it, cash or cash equivalents are treated as taxable compensation. Employees are taxed on bonuses while the company can deduct the payment (assuming total compensation to the employee is reasonable). The bonuses are subject to payroll taxes too.

  • Bonuses. Who doesn’t want more money, so giving a bonus—not just an annual one, but rather one tied to a specific achievement—will be a welcome reward.
  • Anniversary gifts. No, this isn’t related to an employee’s marital status; it’s to recognize how long the employee has been with the company. A monetary gift may be warranted, and Oracle Netsuite suggests it be a percentage of salary and that the percentage grow each year.
  • Gift cards. Even though this is a small monetary gesture, it’s still a sign of recognition and treated the same for tax purposes.

Fringe benefits

Above and beyond compensation, various perks can be just the thing to acknowledge a valued employee. Consider helping employees pay their student loans, pursue education, or defray the cost of childcare. Many fringe benefits must be provided on a nondiscriminatory basis for favorable tax rules to apply to employees and the business. And they usually are offered on an annual basis and are not tied to job performance. This means most can’t be used to single out a single employee who’s done an excellent job on a particular project. Nonetheless, check the list of potential benefits in IRS Publication 15-B.

Note that if you provide transportation benefits—free parking, transit passes, or van pooling—you can’t deduct your cost even though the benefit (up to $300 per month in 2023) is tax free to employees and not subject to payroll taxes.

Time off

If employees have been working especially hard and you want to reward them, then give them time off. If the time off is paid leave, it’s treated as regular compensation; the rules discussed earlier apply. Time off can be for:

  • Volunteer work. Employees may be involved in organizations or support ones that company chooses.
  • Sabbaticals. Small businesses may not be able to have an employee away from the company for an extended period of time. Still, a paid sabbatical may be appropriate for certain employees, such as a manager or someone engaged in artistic activities.

Share ownership

If you really want to show appreciation to your staff—and get them to commit even more to your company’s success—consider sharing ownership with your staff. There are several ways to do this if your business is incorporated:

  • Give stock to employees as compensation. If you are a C corporation and aren’t in certain service industries, employees can get 100% tax-free gain up to $10 million as long as they’ve held the stock (called Section 1202 stock or qualified small business stock as explained in the instructions to Schedule D of Form 1040) for more than 5 years.
  • Employee Stock Option Plan (ESOP). Both C and S corporations can set up a retirement-like plan funded with employer stock. There are tax benefits to both employees and owners:
    • Contributions of stock are tax deductible by the corporation (limitations apply)
    • Cash contributions to the ESOP so it can purchase stock from existing owners is deductible
    • Owners who sell their shares can achieve tax deferral on the gain from this sale if certain conditions are met
    • Employees who participate in an ESOP are treated much the same way as they are with respect to employer contributions to a 401(k); no tax to employees until they receive distributions.

  • Grant stock options. This gives employees the right to exercise the options and acquire stock. These can be:
    • Incentive stock options (ISOs). These are typically used by publicly traded corporations, so no further explanation is needed here.
    • Nonqualified employee stock options. These are options that don’t meet the requirements to be ISOs.
    • Qualified equity grants. These grants allow employees in privately-held corporations to defer income from if the company provides an escrow arrangement to hold the shares until the correct amount is withheld from employees’ pay at the end of the deferral period.
